Answers for Tournament Directors

Frequently Asked Questions

How far in advance should we request officiating coverage?

We recommend reaching out 4 to 8 weeks in advance for regular tournaments, and 8 to 12 weeks for major multi-field regional championships to guarantee roster availability. However, we also do our best to accommodate short-notice requests (2 to 3 weeks) whenever schedule slots allow.

Can we hire an observer crew for just Sunday semifinals and finals?

Yes! Our Showcase & Finals package is specifically tailored for tournaments that want championship-level officiating for their highest-stakes games, broadcast features, or trophy matches without having to staff the entire preliminary weekend.

How do your officials interact with Spirit of the Game?

We view Spirit of the Game as the cornerstone of Ultimate. FlowState officials act as neutral facilitators—empowering players to self-officiate first, intervening promptly on active calls (in/out-of-bounds, offsides, active stall counting), and mediating disagreements with calm, professional de-escalation rather than punitive disruption.

How are travel, lodging, and pricing structured?

We believe in 100% transparent pricing. Proposals clearly itemize official compensation, travel, and on-site coordination. We can either provide an all-inclusive flat invoice, or collaborate with your tournament's official hotel blocks and tournament meal stipends to reduce out-of-pocket costs.
